Executive Assistant

Job title: Executive Assistant

Job Summary

We are recruiting for an Executive Assistant to join our team, providing high-level support at Director and Board level. This is a very busy role requiring excellent PC, communication and organisational skills. A high level of attention to detail is essential.

The role involves managing schedules, preparing meeting documentation/arranging meetings, travel arrangements and liaising with key stakeholders.

The successful candidate should have a minimum of 3-5 years’ experience in a similar role, be capable of working in a fast-paced and changeable environment while always maintaining professionalism and exercising discretion. This is a full-time role, based in the Irish Farm Centre, Bluebell, Dublin 12.

Responsibilities

  • Full administrative support up to Director level. Including organisation of board meetings, preparation of agendas and papers for meetings both electronically and in hard copy and diligently following up on actions to conclusion and in a timely manner
  • Collate meeting documentation and circulate within agreed timelines
  • Deal with officer, member and stakeholder queries/requests and follow up to conclusion
  • Manage calendars to ensure coordination of schedules
  • Detailed travel arrangements
  • Arrange offsite meetings, book meeting rooms /hotels, ensure all audio visual and catering requirements are met
  • Prepare, review, and edit correspondence, communications, presentations and other key documents demonstrating close attention to detail
  • Provide cover to other EAs as necessary

Skills

  • Relevant third level qualification and/or relevant previous experience in an EA/PA role, working with legal documents/team
  • High proficiency in Microsoft Office 365 and video conferencing tools
  • Excellent written and verbal communication skills
  • Ability to multi-task, while prioritising and keeping a detail-oriented focus 
  • Strong interpersonal and relationship management abilities
  • Capacity to work on own initiative and as part of a team 
  • Maintain a high level of professionalism and discretion 
  • Adaptability and flexibility to organise workflow and deliver on priorities

Regional Executive Tipperary & Waterford

Job type: Permanent / Full time

Reports to: Director of Organisation / Senior Regional Executive

The ideal candidate will have: 

  • 3rd level qualification or equivalent Experience
  • Knowledge of the farming and agriculture sector
  • Experience of relationship, event management and member/customer engagement
  • A self-starter with excellent planning and interpersonal skills
  • Proven track record in meeting and exceeding goals
  • Proficient with Microsoft office

Job Purpose: To support elected IFA Officers and members in the Tipperary and Waterford and to manage the day-to-day activities of the IFA in these Counties of responsibility. To ensure that the full-service provisions are delivered including member support and guidance, lobbying, partner services etc and that members are communicated with effectively. To coordinate and ensure membership and other income plans are adhered to.

Core Responsibilities

  1. To ensure Elected Officers of the Association are supported with relevant information and are properly briefed and advised before meetings / events.
  2. To provide guidance and support to County Chairmen and Officers on commodity/ sectoral issues and matters of local / regional importance.
  3. To keep members informed of organisational policy / sectoral and local issues through the County Executive structure and organisational network.
  4. To attend and provide support at IFA meetings, protests, lobbying, AGMs, delegations to government bodies, Agri businesses etc and ensure all are coordinated professionally. 
  5. To develop and maintain relations with local media and to promote the activity of the Association through various communication mediums (E-mail, WhatsApp, Texts) and ensure maximum media coverage is achieved.
  6. To coordinate the day-to-day organisational affairs of the Association within counties of responsibility including meetings, lobbying and information provision and act as professional point of contact for outside bodies.
  7. To manage and grow income streams within the assigned counties by promoting membership development, supporting member recruitment, and engaging voluntary officers in these efforts. Additionally, to maintain strong relationships with Agri businesses, ensure the timely collection of the IFA levy, and drive sales growth for Munster IFA/Bord Gáis Energy Rooftop Solar
